SmartList Builder has become an integral part of processing with Dynamics GP.  And while the standard documentation is good, like all manuals it sometime misses important steps.  Without performing these steps, users will become frustrated in their inability to be productive and access the very tools that are present to make them more productive and efficient.

In the case of SmartList Builder, a Dynamics GP user cannot access Smartlist Builder until a new security task within Dynamics GP is created.  As this important process is not clearly documented, GP Users Edge has taken the liberty to document it here for you.

To begin creating the task, an administrator must access security setup by clicking on Microsoft Dynamics GP >> Tools >> Setup >> System >> Security Tasks.

1. Enter a name for the security task as shown above.

2. Select a category for the task.

3. Enter a task name and description.

4. In the product drop down select “Smartlist Builder.”

5. In the type drop down select “Smartlist Builder Permissions”.

6. In the series drop down select “Smartlist Builder.”

7. Click “Mark All.”

8. Returning to the series drop select “Excel Report Builder.”

9. Click “Mark All.”

10. Return to the type drop down and now select windows.

11. Select project for the series.

12. Click “Mark All”.

13. Returning to the series drop down and now select “System” from the list.

14. Click “Mark All”.

15. Click Save.

Assignment of Security Task to Security Role

To begin assigning the task to a security role, an administrator must access security setup by clicking on Microsoft Dynamics GP>>Tools>>Setup>>System>>Security Roles

1. Select “AR MANAGER” from the look up window of the existing security roles.

2. Set the “Display” drop down to “System”.

3. Scroll to the bottom of the list and mark “SMARTLISTBUILDER” from the list of tasks.

4. Click Save.

5. Next select “IT ADMIN” from the look up window of the existing security roles.

6. Set the “Display” drop down to “System”.

7. Scroll to the bottom of the list and mark “SMARTLISTBUILDER” from the list of tasks.

8. Click Save.

Granting Access to the New SmartList Object

The final process is to grant access to the SmartList Object built using the SmartList Builder.  This task needs to be performed whenever a new smartlist is built using SmartList Builder.  The new object will be at the bottom of the list of existing objects.

To begin granting access to the SmartList Objects, and administrator must access the security setup by clicking on Microsoft Dynamics GP>>Tools>>Setup>>System>>Security Tasks.

1. Enter “SMARTLISTS” into the Task ID field.

2. Click the “Mark All” button.

3. Click Save.
